• The client orders the collection of material by fax or online.
  • The order is received and entered in the computerized collection and distribution system.
 
Collection
  • The Archive 2000 vehicle collects the containers from the client (packing services are also available).
  • A waybill is produced when the containers are collected and a copy noting the number of containers is given to the client.
 
Reception
  • The containers are received at the Archive 2000 storage site. A copy of the waybill is given to the person responsible for entering the shipment in the system.
  • The waybill details are entered in the computer system together with the barcode markings on the containers.
  • Sampling checks are carried out at every typing shift to inspect the quality of the typing and to locate irregularities.
 
Retrieval
  • The client orders files stored at Archive 2000.
  • A team of professional workers receives the order and carries out a computer search.
  • After locating the file in the computer, the file is physically retrieved from the shelf using an optical scanner.
  • The file is delivered to the client within 24 hours (or less).
 
Destruction
  • The client provides Archive 2000 with regular procedures for the destruction of archival material or a request for the destruction of specific materials.
  • The orders are entered in the computer as records and for double control to prevent errors.
  • On retrieving the file, the barcode terminals provide an alert of any discrepancy that may exist between the computer records and the files.
  • In the absence of a warning of error in identification, the files are removed from inventory and sent for shredding.
 
Scanning
  • The document is scanned and indexed for speedy retrieval when required.
